Our commitment

Gilko Capital respects the privacy of the families, business owners and advisors we work with. This policy explains how we collect, use, share and protect personal information, in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

1. Information we collect

Contact information, such as your name, email address, phone number and mailing address.
Information needed to assess and place life insurance, including date of birth, health and medical history, lifestyle information, and financial, tax and corporate information such as financial statements, tax returns, shareholders’ agreements and details of your corporate structure.
Identity verification information required by law or by insurers.
Information you share with us in meetings, by email, through our scheduling tools or in other communications.
Technical information from visits to our website, such as IP address, browser type and pages viewed.

2. How we use it

To understand your circumstances and advise you.
To prepare, submit and service insurance applications and policies.
To verify identity and meet legal, regulatory and insurer requirements.
To communicate with you and, with your consent, with your accountant, lawyer or other advisors.
To operate, secure and improve our website.

We do not sell personal information, and we do not use it for unsolicited marketing.

3. Consent

We collect, use and share personal information with your consent, except where the law permits or requires otherwise. Health information is collected only with your express consent, and only to assess, place and service your coverage.

You may withdraw your consent at any time, subject to legal or contractual restrictions. Withdrawing consent may limit our ability to advise you or to place or service coverage.

4. Who we share it with

We share personal information only as needed, and only with:

Insurance companies, managing general agencies, their underwriters and reinsurers, and the medical and paramedical service providers involved in assessing and placing coverage.
Your accountant, lawyer or other advisors, with your consent.
Service providers that support our operations, such as email, document storage, scheduling, video conferencing, client relationship management and AI-assisted productivity tools. They may use your information only to provide services to us.
Regulators or other authorities, where required by law.

5. Storage outside Canada

Some of our service providers store or process information outside Canada, including in the United States. Information held outside Canada is subject to the laws of that jurisdiction, which may include lawful access by its authorities.

6. How we protect it

We use safeguards appropriate to the sensitivity of the information, including restricted access, password-protected and secure systems, and encrypted transmission where available. Access is limited to those who need it to serve you.

7. How long we keep it

We keep personal information only as long as needed for the purposes described above, or as required by law, regulation or insurer record-keeping obligations. It is then securely destroyed.

8. Your rights

You may ask to access the personal information we hold about you, request that inaccurate information be corrected, or withdraw your consent. To do so, contact our Privacy Officer below.

If a concern is not resolved to your satisfaction, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

9. Our website

Our website uses cookies and analytics tools, including Google Analytics, to understand how the site is used and keep it performing well. You can control cookies through your browser settings. Links to other sites and services, such as our scheduling tool and LinkedIn, are governed by their own privacy policies.

10. Changes to this policy

We may update this policy from time to time. The current version will always be posted on this page, with the date it was last updated.
